(1) Vendor needs to provide cloud–based records management system. – Provide modernize its records management practices through the implementation of a comprehensive Records Management System (RMS).– Provide a centralized system for managing, storing, and retrieving city records across all departments.– Improve efficiency in records processing, search, and retrieval.– Enhance security and disaster recovery capabilities for critical municipal records.– Support both physical and digital records management workflows.– Reduce costs associated with physical storage and records handling.– Conduct comprehensive assessment of current records management practices across all city departments.– Identify gaps, inefficiencies, and compliance risks in current systems.– Recommend appropriate RMS platform (cloud–based or on–premises).– Design system architecture that supports scalability and future growth.– Configure retention schedules based on records retention requirements.– Design user interfaces and workflows for various city departments.– Integrate RMS with existing city systems and databases.    – Migrate historical records from legacy systems (phased approach acceptable).– Establish backup and disaster recovery procedures.– Provide system maintenance and technical support options.– Offer software updates and patches.(2) All the questions must be submitted no later than July 1, 2026.
