Notice of Intended Single / Sole Source Purchase - Vermont Systems

The description of services intended for purchase from a Single Source is posted in accordance with section 287.057(3)(c), Florida Statutes and will be posted for a minimum of 7 business days. This is a Notice for a Sole Source Source designation for Clay County Board of County Commissioners. Commodity or Service Required: A system that supports membership management, invoicing, reservations, rentals, point of sale, and more. Justification for Single/Sole Source Acquisition: Utilizing RecTrac 3.1 will provide one system that the Outdoor Adventure Park, Fairgrounds, Camp Chowenwaw, and other Parks & Recreation facilities can utilize for their daily operations. RecTrac 3.1's combined gateway system is compatible with current financial systems, allowing for smooth and integrated operations across all locations. By centralizing these essential functions within RecTrac 3.1, the County's facilities can streamline their daily operations, enhance customer service, and improve overall efficiency. RecTrac3.1 will provide a standardized approach to recreation management for the County. Staff reviewed other software options and found that this is the system that meets all of the county's needs and provides standardization. Recommended Procurement Approach: For the reason stated above, Clay County Purchasing Department intends to utilize the Sole Source Procurement method to contract with Vermont Systems for supplying the above.
