(1) Vendor needs to provide managed print and digital distribution services. – Provide an end–to–end solution supporting secure document intake, data processing, high volume transactional printing, small–batch on–demand printing, address validation, digital presentment, secure hosting, pressure sealing of print requests, document retrieval, reporting, and ongoing operational support.– Solution shall be secure, dependable, scalable to accommodate the city’s growth, and compliant with all applicable regulations.– Provide secure document hosting, retention, and archival services consistent with city retention policies and applicable regulatory requirements.– System shall support searchable document retrieval by authorized city staff by account number, date range, or document type.– Provide reporting services including: secure online access for the contract administrator to a reporting dashboard or portal for on–demand, real–time production data and job status; and production, cost, and performance reporting accessible to authorized city personnel on a monthly basis, or more frequently upon request.– Provide the capability to securely receive and process data from multiple digital submission methods, including system integrations, file transfers, and portal uploads.– Solution shall support data validation, formatting, batching, and preparation of transactional data for print and digital production, with full job tracking and audit capabilities maintained throughout the lifecycle of each job.– Provide on–demand and small–batch printing services to support departmental correspondence and operational needs, accommodating fluctuating volumes and varying document types delivered via email, internal network folders, or a vendor portal.– Provide secure electronic presentment of municipal documents including bills, tax notices, assessments, and related correspondence.– Include a secure customer–accessible portal for end–user (resident or business) self–service document viewing and retrieval, as well as electronic delivery options including email notifications.(2) Pre–bid meeting will be held on July 2, 2026. (3) All the questions must be submitted no later than July 10, 2026.
