DE-5421 - USA (California) - Paper to Digital Document Scanning, Imaging, Indexing and Quality Control Services - Deadline July 23,2026

(1) Vendor needs to provide paper to digital document scanning, imaging, indexing and quality control services.– Resolution for scanning shall be at least 300 dpi (minimum).– Physical documents shall be converted into PDF, TIFF, JPEG, XML. or other commonly used format, as indicated by the Requesting Department. The electronic documents shall be in non–proprietary format so that special software is not required to access them.– Contractor shall work with the City to establish what file naming, indexing scheme/system, and metadata fields their personnel will capture during scanning– A multiple page physical document shall be converted into one electronic document with multiple digital images– The contractor shall perform box and/or document tracking while in the contractor's possession, custody, or control and provide transfer receipts to the City(2) A Non–Mandatory Informational Meeting will be held on July 1, 2026.(3) All question must be submitted no later than July 7, 2026.
