(1) Vendor needs to provide enterprise document management solution. – Provide professional consulting services to help with a range of planning and preparation tasks, including but not limited to, performing a current state analysis of records and Records Management function, a report of findings and recommendations for phasing the digitization of current records, and Enterprise Document Management Solution (EDMS) implementation with a corresponding task list.– The selected Proposer will also help agency develop a measurable desired future state and defined project outcome with cleat objectives and KPI’s for tracking the progress and success of these goals throughout the life of the EDMS project.– The selected Proposer will develop a records management digitization strategy, based on the findings of the Current State Analysis and in accordance with applicable guidance and state laws.– The selected Proposer will help design and implement a file plan and folder structure that is compliant with, and supports, agency’s records retention policies and will help to improve organization, visibility, searchability, and accessibility of agency’s electronic records, while maintaining compliance with all records management policies.(2) All the questions must be submitted no later than June 18, 2026.
