(1) Vendor needs to provide cloud–based registration and payment management system.– System that is user–friendly for both clients and staff members, that allows for ease of registration, payments, and refunds as well as reporting on registrations, receivables, revenues, enrollment, and course completion.– Flexibility in user profiles, allowing varying levels of access for multiple administrators across campus, departmental users, and external clients.– Flexibility of course offerings: The ability to list courses, workshops, camps, conferences, and events.– Course catalog: A searchable, branded storefront where users can filter by category, date, or instructor, as well as the ability to hide events or conferences from public view.– Lead tracking: Ability for prospective students to express interest in particular course options and for administrators to follow up with registration information.– Communication: Automated notifications, confirmations, and reminders for registration or event approvals, changes, cancellations, and financial transactions.– Payment Links: Ability to generate a secure, shareable payment link for events, services, or invoices.– Payment gateway integration: Secure processing of credit cards and electronic checks.– Refunds: Workflow for processing full or partial refunds.– Tools to manage course descriptions, locations (physical or virtual), and scheduling.– Public–facing and internal calendars that can be customized by audience, location, or event type.(2) All questions must be submitted no later than July 20, 2026.(3) A non –mandatory pre–bid conference had been held on July 14, 2026.(4) The contract period will be for three years.
