VoIP Phones

Lextran is seeking proposals to replace our existing Voice over Internet Protocol (VoIP) System. The system should act as a single system in a multi-site environment covering the administrative headquarters located at 200 West Loudon Avenue and the downtown Transit Center located at 150 East Vine Street in Lexington. The preferred high-level components of functionality include voicemail, conferencing, integrated fax service, automated attendant, call reporting, call recording, and call center. Lextran desires a turn-key solution for the fully telephony system. The selected vendor will be responsible for the installation, setup, testing, and training of the new system in coordination with Lextran IT staff. The selected vendor will be required to coordinate with Spectrum for communication services related to this project. Proposers shall coordinate the seamless port of phone numbers with existing carriers, if required. Lextran operates year-round and always has staff on-site. It is critical to ensure constant uptime of our phone system and solutions that can minimize call processing issues regardless of the state of the network or power outages are desired. Proposers shall include specifications for all hardware and software related to their proposed solution. Specifications should include make, model, manufacturer, and any information related to the end of life/end of support dates for software and hardware. Proposers shall include hardware costs that are necessary to provide the system, including desk phones, conference phones, power over ethernet switches, servers, circuits, and so forth. Proposers shall include a transition plan, including a dedicated project manager that will ensure that Lextran has minimal disruption to internal and external communications. If communication disruption is required as part of the transition to the proposed solution, proposers shall include scheduling an off-peak cutover. A master project schedule, including a detailed timeline, must be included identifying the tasks the vendor will perform and tasks that Lextran is expected to perform to successfully implement the new system.
