(1) Vendor needs to provide cisco PBX phone system to Microsoft teams phone solution. – The selected vendor will need to evaluate the current environment and propose a solution that best meets the agency’s needs, ensuring that best practices are followed and that security, reliability, and resiliency are factored into the provided solution.– Replace Cisco Call Manager 14.5 phone system with a Microsoft Teams calling and cloud–based system providing dial tone.– Migrate existing voicemail and replace Cisco Unity Voicemail system to Microsoft Teams Phone and Voicemail.– Provide backup calling and voicemail access methods should cloud services or internet become unavailable– Provide recommendations and implement tools (e.g., hunt groups and ACD), call attendants, and calling trees to meet customer needs– Provide training materials and train IT staff to support the new phone system– Provide a solution for analog lines as identified during the evaluation/discovery process– Provide a growth path for adding additional lines in the future– Recommend certified Microsoft Teams phone options for areas where Teams client can’t be utilized– Provide end–user training and documentation.– Deliver a method to backup and restore system configurations for the proposed solution.– Ensure calls are always routed to the correct department or service 24/7.– Provide backup calling and voicemail access methods should cloud services or internet become unavailable.(2) All the questions must be submitted no later than July 27, 2026.(3) Pre–bid meeting will be held on July 30, 2026.
