(1) Vendor needs to provide electronic document workflow system.        – Provide and implement an electronic document workflow system capable of digitizing paper–based administrative workflows, including forms, approvals, routing, notifications, and document management. – The solution must provide an alternate authentication mechanism, such as local application accounts associated with a user’s business or personal email address, so that submissions, approvals, status updates, and other system communications are sent to and received from the associated email address.– Automated data backups consisting, at minimum, of daily incremental backups and weekly full backups.– Documented event schemas, supported event types, and ingestion frequencies suitable for near real–time monitoring and compliance review.– API availability for custom integrations with systems including student information systems, financial platforms, learning management systems, and other administrative applications.– Single sign–on (SSO) through Microsoft Entra ID (Azure AD) is required for all district staff, administrators, teachers, and student accounts, where applicable.– Ability to fully digitize paper–based workflows, including forms, approvals, routing, and notifications.– A cloud–hosted Software–as–a–Service (SaaS) solution.– Role–based and department–based routing.– Real–time dashboards for administrators and approvers.– Metadata tagging for documents to support classification, organization, and retrieval.– Ability to download completed forms as PDF files for use on other platforms.(2) All the questions must be submitted no later than July 16, 2026.          (3) A non–mandatory pre–proposal conference will be held on July 15, 2026.
