RS-1460 - USA (Trenton, New Jersey) - Record Storage and Retrieval Records Management Services - Deadline September 29,2026

(1) Vendor needs to provide record storage and retrieval records management services to the government authority located in Trenton, NJ. – Responsible for establishing and maintaining a computerized indexing system for storage and retrieval of records stored at a storage facility.– Provide space for a minimum of 500,000 boxes at the initiation of the contract.– Needs may exceed 700,000 boxes at the contractor’s facility.– Providing a detailed outline of the training program and train the using agency in the proper use of the index system and the index data elements that apply to that using agencies account.– Provide storage space for all records presented for storage by the using agencies.– Provide indexed folder or box retrieval and delivery to the using agencies location by the end of the next business day following receipt of the request.– Provide emergency retrieval and delivery service and tele facsimile (fax) and electronic transfer service within six hours of receipt of an emergency request.– Responsible for establishing a procedure for retrieval during emergency hours, which shall include a signature from an authorized person in the using agency.– Provide on–site review of state materials stored at the contractor’s facility during normal business hours within two hours of receipt of such request.– Provide for removal of any indexed item, box or folder for removal to the state archives or another state–owned facility.– Responsible for the initial pick–up of all records from the incumbent.– Provide a minimum of two record viewing rooms per facility.(2) Pre–bid optional meeting will be held on July 24, 2026. (3) All the questions must be submitted no later than July 31, 2026.
