MRB-55754 - USA (Texas) - Third Party Event Planning and Conference Management Services - Deadline August 13,2026

(1) Vendor needs to provide third party event planning and conference management services. – Events may include large research conferences, academic meetings, healthcare and medical conferences, scientific symposia, professional education programs, stakeholder meetings, and other institutional events,– Project planning, workplan development, timelines, milestones, status reporting, and coordination meetings.– Conference logistics support, including run–of–show planning, staffing plans, production schedules, and day–of–event coordination.– Venue, hotel, room block, catering, AV, transportation, exhibit, and related supplier coordination support,– Registration planning and management, attendee communications, badge coordination, check–in support, and attendee reporting.– Speaker, presenter, moderator, and agenda coordination, including session tracking and presentation material coordination.– Abstract, poster, or submission coordination when required by the department.– Sponsor and exhibitor coordination support, including administrative tracking and fulfilment support, when applicable.– Budget development support, expense tracking, reconciliation support, and post–event financial reporting.– Event technology support, including registration platforms, mobile applications, virtual or hybrid meeting tools, attendee engagement tools, reporting dashboards, and related support when applicable.– On–site management, staffing, vendor coordination, issue escalation, and post–event closeout support.(2) A pre–submittal conference will be held on July 23,2026.(3) All question must be submitted no later than August 4, 2026.(4) A contract term will be for two years.
