SW-120251 - USA (Illinois) - Enterprise Asset Management Replacement Service - Deadline November 12,2026

(1) Vendor needs to provide enterprise asset management replacement service. – The Contractor shall provide all software licenses or subscriptions, hosting, environments, third–party products, connectors, middleware, and tools required for the accepted Solution.– The Contractor shall perform project management, discovery, process validation, solution design, configuration, development, integration, data conversion, testing, training, cutover, stabilization, warranty, and production support.– The Contractor shall configure department–appropriate workflows while maintaining common master data, security, reporting, cost, and audit controls.– The Contractor shall provide all documentation, mappings, designs, configuration workbooks, interface–control documents, conversion rules, reconciliation reports, test scripts, training materials, support procedures, and as–built deliverables.– The Contractor shall provide a production environment plus separate nonproduction environments adequate for configuration, integration testing, user acceptance testing, training, upgrade testing, and regression testing.– The proposed Solution shall provide authorized City technical personnel secure, documented, read–only access to transactional and reporting data through supported APIs, reporting replicas, governed extracts, data shares, query tools, or other methods appropriate to the proposed deployment.– The proposed Solution shall support asset–dense industrial generation facilities with detailed hierarchies for plants, units, systems, subsystems, equipment, components, and functional locations.– The proposed Solution shall route work and approvals to durable organizational queues, positions, roles, or workgroups rather than only to named individuals.– The proposed Solution shall support attachments, links, notes, photographs, drawings, manuals, email artifacts, and other documents while preserving security and retention controls. – The proposed Solution shall represent assets, functional locations, sites, facilities, units, systems, subsystems, equipment, components, linear assets, network segments, structures, and service locations in appropriate hierarchies.– The proposed Solution shall support parent–child and network relationships while preserving independent identification, specifications, condition, criticality, warranty, costs, history, and life–cycle status.– The proposed Solution shall support GIS–linked and non–GIS assets without making GIS the sole source for asset–dense generation equipment.– The proposed Solution shall provide fast search across asset number, legacy identifier, location, description, specification, manufacturer, model, serial number, work history, part, document, accounting string, and free text.– The proposed Solution shall provide configurable status transitions, required fields, role permissions, notifications, approvals, and audit controls.(2) All the questions must be submitted no later than October 29, 2026.
