Description

(1) Vendor needs to provide telephone system upgrade services to the government authority located in Crystal Lake, IL. • Provide assessment, recommendation, and optional implementation/migration services related to the city’s existing telephone system and future modernization efforts.• Comprehensive, vendor–neutral assessment of the city's existing Mitel/Shoretel telephone system and recommend a replacement system• Inventory of PBX hardware, software, and system components (including distributed voice appliances at remote sites).• Analysis of call routing, numbering plans, voicemail systems, auto attendants, and call flows.• Review of trunking services including SIP, PRI, or other carrier connections, and associated capacity.• Identification of operational challenges, limitations, and lifecycle/end–of–support concerns associated with the existing system.• Assessment of WAN connectivity between City facilities.• Evaluation of network resiliency and redundancy, including failover for remote sites.• Call handling workflows by department.• After–hours call handling and on–call rotations.• Integration requirements with other City systems (e.g., records, CAD, ERP, scheduling).• Voicemail and email integration(2) All the questions must be submitted no later than July 20, 2026.(3) The contract period will be for three years
