– Vendor needs to provide commercial property management service to the government authority located in Coatesville, PA. – Tenant Relations and Lease Administration:• Day–to–day tenant relations for all commercial tenants.• Lease administration, including rent collection, lease compliance monitoring, and renewal tracking.• Coordination of tenant move–ins, move–outs, and space modifications.Strategy for identifying and attracting nonprofit and mission–aligned tenants to the fourth floor.– Compliance and Regulatory Reporting:• Maintain compliance with Rural Development Loan including certain parameters and stipulations that must be adhered to regarding use and tenant composition.– Financial Management:• Rent collection and processing for all commercial tenants.• CAM billing, reconciliation, and administration.• Utility billing and reimbursement tracking.• Monthly financial reporting (income, expenses, occupancy, variance analysis).– Facilities and Maintenance:• Routine maintenance and repair coordination for commercial spaces and common areas.• 24/7 emergency maintenance coordination.• Oversight of commercial building systems.– Conference and Event Space Management:• Coordination of conference and event space scheduling and access.• Development of a pricing and usage policy in partnership. • Marketing the space for external rentals as an ancillary revenue stream.– Coordination with Residential Manager:• Shared vendor relationships. • Building access, security, and emergency response coordination.• Capital planning for major building systems.• Participation in coordination meetings.
