(1) Vendor needs to provide asset tracking system. – The solution must maintain a unique digital record for each in–scope asset and be capable of generating, allocating and exporting unique asset IDs independently of the physical tag type. It must support durable identification through QR code, barcode, BLE, RFID or another proposed identifier, including association of an existing or third–party tag with the system–generated asset ID.– The supplier must clearly distinguish inventory/register functionality from live or near–real–time location tracking.– The solution must support role–based access and secure authentication using an agreed identity model. The supplier must define joiner–mover–leaver processes, prohibit uncontrolled shared accounts, and describe privileged, support and remote–administration access, including approval, time limitation, MFA, logging and review. Key user, administrator and asset actions must be auditable.– All proposed equipment and software must be commercially supported and not end–of–life or end–of–support at implementation.– The solution must comply with agency digital, cyber security, information governance and data protection review requirements before use.– The supplier must provide a structured compatibility and dependency assessment covering NHS Borders networks, Wi–Fi, devices, mobile operating systems, APIs, cabling, power, mounting, firewall, certificates, device management and estates works.– Support controlled import of existing data, including agreed records from eQuip or other source files, without creating avoidable duplicate records.– Support issue, movement, receipt, return, off–hire, reallocation and exception–handling workflows.– Provide a clear solution architecture, component list and data–flow diagram.(2) All the questions must be submitted no later than November 11, 2026.
