(1) Vendor needs to provide cloud–based dental electronic health records and digital imaging system. – Provide an integrated cloud–based dental Electronic Health Records (EHR) and Digital Imaging System (DIS) to transition from paper records and acetate (hard copy) x–rays to modernize patient care and streamline administrative and clinical operations for five dental clinic locations. – Provide software, hosting, implementation, training, and technical support for a fully integrated cloud based dental EHR and DIS compatible with agency’s digital radiographic equipment and clinical workflows.– The system shall provide the transition from paper to electronic EHR and digital imaging to modernize patient care, streamline administrative operations, and support secure, compliant access across agency.• Patient records and clinical management:– A secure cloud–based EHR system supporting comprehensive patient demographics, medical and dental histories, allergies, medications, and assessments.– Clinical charting capabilities, including odontograms, periodontal charting, restorative, preventive, endodontic, prosthodontic, oral surgery, and other related documentation.• An integrated DIS:– A fully integrated, cloud–based DIS capable of capturing, storing, retaining, and retrieving dental images within the EHR system.– Support for intraoral and extraoral imaging, including bitewing, periapical, panoramic, and photographic images.• Patient scheduling and appointment management: – A centralized scheduling system supporting schedules, rescheduling, cancellations, and recurring or follow–up appointments.– Operatory and resource management, including assignment by provider, procedure type, and clinic location.• Billing and financial management: – Insurance verification.– Claims creation and submission supporting codes and electronic attachment of radiographs and clinical documentation.– Claims tracking and reconciliation, including denials and resubmissions.• Treatment planning and case management:– Customizable treatment planning, directly linked to clinical findings, imaging, and diagnoses– Tracking of accepted, declined, and deferred treatment, with documentation of patient decisions.• Reporting and analytics: Clinical and operational reporting, including provider productivity, scheduling efficiency, and utilization.   • Communication tools: Secure internal messaging enabling communication between providers, staff, and clinic locations.(2) All the questions must be submitted no later than July 31, 2026. (3) Pre–bid meeting will be held on July 29, 2026.
