DE-5399 - USA (Ohio) - Document and Microfilm Scanning and Digitization Service - Deadline July 7,2026

(1) Vendor needs to provide document and microfilm scanning and digitization service. – Vendor to scan thousands of documents, index, electronically store and to make it easy to retrieve those documents at locations throughout the agency. • Documents formats include:– Paper of various sizes including 8.5” x 11.0”, 5.5” x 8.5”, or 8.5” x 14”, some documents may be two–sided, some documents are onion paper, other documents contain color, but the vendor will scan to black and white only.– Microfiche.– Microfilm.– Canofile software.– Imageware software.– CD / DVD.• Must capture paper and electronic documents, convert them to a digital format, index the documents, and archive them for searching meet the following minimum requirements.  • The conversion of all documents into digital files must be in a format that can be easily retrieved, the file format of these images must be a recognized industry standard including HTML, XML, PDF, JPEG, PNG, etc.  (2) All the questions must be submitted no later than June 12, 2026. (3) The contract period will be for five years. (4) Virtual pre–bid meeting will be held on June 9, 2026.
