EXTRA-74120 - USA (Woodbridge, Virginia) - Length of Service Award Plan Administrator Services - Deadline October 6,2026

(1) Vendor needs to provide length of service award plan administrator services to the government authority located in Woodbridge, VA.– Establish and maintain plan participant records regarding enrolment, service history, eligibility for benefits, and payment history.– Maintain a separate record of county contributions into the plan.– Verify accuracy of plan participant accounts through procedures adopted including when plan participants transfer from one volunteer fire and rescue department to another.– Prepare annual census reports for the county and each volunteer fire and rescue department upon completion of actuarial report by the plan actuary.– Retiring plan participants will apply for retirement benefits directly through the contractor. The contractor shall determine eligibility for benefits according to the terms of the plan and its records.– Verify the plan participant’s eligibility criteria based on census information contained in the contractor’s database.– Maintain current volunteer fire and rescue department name, plan participant name and address listings, utilizing information obtained from the volunteer fire and rescue system member records.– Prepare an annual plan of anticipated expenditures for the plan to present at the 4th quarter of the calendar year for the next fiscal year (calendar year) agency meeting each year.– Record cash receipts, cash disbursements and journal entries in the accounting system monthly.– Reconcile all cash accounts to the general ledger monthly.(2) An optional pre–bid conference will be held on August 24, 2026.(3) A contract period will be for two years.
