(1) Vendor needs to provide logistic support and planned events organizing service.• Provide logistic support and organize different meetings, workshops and other events with millers, govt. bodies, partners and other stakeholders under the agency.1. To organize planned events under this agreement in consultation with the agency Indonesia country team2. To ensure timely and effective logistical arrangements for venue setup, equipment handling, participant registration, photography, documentation and other related tasks.• The event organizer/ agency will be expected to perform the following tasks:1. Collaborate with the agency Program team to understand event objectives, themes, and desired outcomes2. Coordinate all aspects of event planning, including venue selection, food and refreshment, audiovisual requirements,transportation, accommodations, etc.3. Manage event registration, participant communication, and coordination of speakers, panellists, and guests4. Ensure compliance with all local regulations, permits, and licenses necessary for hosting events5. Oversee on–site event management, including setup, coordination of staff, and troubleshooting any issues that arise during events6. Provide post–event reports, feedback collection, and analysis to assess event success and areas for improvement7. Provide marketing materials, including merchandise, souvenirs, and other promotional items, as required to support the events8. Coordinate fees and reimbursements for speakers, facilitators, and other relevant participants(2) The contract period will be for one year.
