(1) Vendor needs to provide microfilm services.• The Microfilm Services project involves scanning and converting archived public health medical records currently stored on microfilm into a digital format.• The digital records, original microfilm shall be returned unless the county separately authorizes destruction in writing after confirming the applicable records retention and disposition authority.• The Microfilm Services project is needed to improve access to archived medical records by converting them to a searchable digital format, enhancing record security, preservation, and disaster recovery capabilities.• To collect, scan, index, and convert approximately 1,912 rolls of microfilm containing archived medical records into searchable digital images and files in accordance with the requirements• Across the 196,479 records we do know, there are 878 distinct rolls, with an average of 224 records per roll.• Scan and convert approximately 1,912 rolls of microfilm containing archived medical records into digital images.• Perform Optical Character Recognition (OCR) on all scanned images to create fully searchable PDF files.• Assemble each patient's complete medical record into a single multi–page PDF file rather than creating individual files for each scanned image or frame.(2) All questions must be submitted no later than October 21, 2026.(3) The contract period will be for one year.
