(1) Vendor needs to provide legislative trip meeting and event application platform.– Provide a turnkey meeting and event application platform that will facilitate registration, meeting scheduling, communication, document access, notifications, and other event–related functions for city legislative trips.– Application must provide administrators with the ability to create, manage, and modify event information while allowing registered participants to easily access schedules, meeting information, documents, maps, speaker information, notifications, and other event–related content.– Provide online participant registration.– Meeting registration and management.– Allow users to register and request attendance for individual meetings.– Allow administrators to view confirmed, pending, and declined participants.– Ability for users to easily identify their registered or approved meetings.– Calendar functionality.– Application shall allow administrators to create and manage speaker profiles.– View maps of meeting locations.– Application shall provide communication functionality that allows users to communicate within the event or individual meetings.– Ability to send push notifications to users.– Application shall provide survey functionality for collecting participant feedback.– Custom branding and design.– Application shall be accessible on both Apple iOS and Android devices.– Provide an administrative portal that allows authorized city staff to independently manage the application.(2) All questions must be submitted no later than September 22,2026.
