(1) Vendor needs to provide paper to digital document scanning, imaging and retrieval services to using scanning resolution 300 dpi in a multi–page PDF format.– Provide scan regular letter, legal–sized, and large–format documents at 300 dpi using a high–quality scanner equipped with advanced threshold technology.– During scanning, documents must be cropped and straightened. Documents must be scanned in duplex mode, dropping blank backs by image byte size.– Provide in proposal information regarding the equipment firm plans to use.– Images must be viewed during the scanning process to ensure the quality of imaging.– Provide firm’s scanning quality control practices.– Document Retrieval During Off–Site Custody:• Able to email or physically return specific documents if requested within 48 hours of the request (2 business days).• All off–site services must be performed within the submitting own facility.• Facility must have a building–wide security intrusion system.• Each entrance to the building must have a monitored camera to ensure the complete security of documents.• Provide a bonded courier for pick–up and return delivery of documents.• Able to return or email documents, if needed.(2) All the questions must be submitted no later than July 16, 2026.
