DEBT-2152 - USA (Tavares, Florida) - Collection Agency Services - Deadline September 23,2026

(1) Vendor needs to provide collection agency services for the collection of fees and costs associated with medical services provided as well as reimbursement from current and/or former employees to the government authority located in Tavares, FL.– Contractor shall be responsible for collecting all applicable and appropriate fees from patients. Contractor shall utilize generally accepted collection methods as proposed by Contractor and approved by the County– County will establish and maintain a lockbox at a financial institution for deposit of fees collected by Contractor. Contractor will provide all documentation accompanying payments received at the lockbox.– Contractor is responsible for the filing, processing, and collection of agency fees. Contractor’s services shall include, but are not limited to, data processing; management information reporting; electronic storage of records; electronic and paper billing; claims filing and invoicing; responding to all billing/insurance related inquiries; postage; printing; forms; stationary; envelopes; mailings; communication costs; and required computer hardware and software necessary to effectively provide services.– This includes maintaining appropriate accounting procedures that provide for reconciling all payments; bank deposits; receivables; billings; patient accounts; adjustments; and refunds between the Contractor’s billing system and County records.– Research accounts provided to Contractor by County with inadequate billing information by reviewing current databases; utilizing services such as skip–tracing; contacting the receiving hospital to obtain admitting/registration information; and telephoning patients or responsible parties to obtain needed information– Provide and pay for all materials, labor, attorney and/or legal fees, incidentals and all other services that may become necessary to execute, complete and deliver quality service– Cooperate with the County to provide information for audits and assist the County with reconciliation of Contractor billing subsidiary records to the County’s general ledger.
