(1) Vendor needs to provide document conversion and scanning services. – Provide secure document conversion and scanning services for jail booking records and other records requiring digital preservation and indexing.– Bitonal scanning of all documents. Proposals must include differences between 200 dpi (black & white) and 300 dpi (black & white).– All scanned documents shall undergo optical character recognition (OCR) processing to produce searchable PDF documents unless otherwise directed.– Describe your document preparation, scanning, indexing, quality assurance, OCR processing, file organization, and delivery workflow.– 15,000–20,000 booking files (average files range from 25–50 pages) that need to be scanned and archived.– Images to be saved as multi–page TIFFs compatible with storage and retrieval within PaperVision by Digitech.– Provide access to material being scanned while it is outside of the facility upon request.– Provide boxes of content to be moved off–site for scanning.– Perform indexing of scanned images. (2) All the questions must be submitted no later than August 18, 2026. (3) The contract period will be for three years.
