Vendor needs to provide event sponsorship management services to provide comprehensive, end–to–end event sponsorship management services for public meetings with the potential to support sponsorship activities for other smaller meetings and events as needed.– This includes sponsor prospecting, proposal development, targeted outreach to relevant stakeholders and entities, contract administration, fulfilment coordination, billing, and post–event reporting, ensuring a seamless and professional experience for all stakeholders.1. Sponsorship planning:– Identify and evaluate new sponsorship opportunities across industries, sectors, and geographic regions to expand and diversify the sponsorship portfolio.– Provide strategic recommendations on sponsorship packaging, including tier structures, benefit design, activation opportunities, and pricing models based on market benchmarking and industry best practices.– Develop, maintain, and annually update sponsorship prospectus, including sponsorship opportunities, benefits, pricing, branding guidelines, and supporting marketing collateral for review and approval.2. Prospecting and outreach and business development:– Conduct global market research to identify, qualify, and prioritize prospective sponsors across relevant industries and sectors.– Execute structured outreach campaigns targeting both new and existing sponsors, including tailored messaging, proposals, and engagement materials.3. Sponsor screening, due diligence and compliance:– Conduct sponsor due diligence and provide agency with a formal written approval or non–approval determination, supported by documented findings and risk assessments, prior to sponsor engagement.4. Sponsorship fulfillment and activation management:– Provide a seamless sponsor experience across pre–event, onsite, and post–event phases.
