(1) Vendor needs to provide grant administration and project support services to the government authority located in Memphis, TN. – Provide project support and grant administration services, on an as–needed.– Award Review and Administration Setup:• Develop and maintain a grant administration checklist, compliance calendar, responsibility matrix, deliverables tracker, and document–control structure.• Develop or adapt practical templates and procedures for invoice review, reimbursement requests, labor and timesheet documentation, progress reporting, change tracking, and closeout preparation.– Project Coordination and Workflow Support:• Prepare meeting agendas, action–item lists, decision logs, and concise follow–up materials when requested.• Maintain a current project workplan and schedule of administrative milestones, submissions, reimbursement requests, reports, and other grant obligations.– Financial Documentation and Reimbursement Support: • Track invoices, payment documentation, timesheets, labor charges, consultant costs, construction costs, and other expenditures by the appropriate grant and project codes.• Review reimbursement packages for completeness, mathematical accuracy, allowability support, consistency with the approved budget, period of performance, and required approvals.– Compliance and Reporting Support:• Assist in compiling narrative, financial, milestone, and performance information for required federal reports and other project updates.• Maintain organized supporting files suitable for monitoring, audit, and closeout review.(2) The contract period will be for one year.
