(1) Vendor needs to provide elementary photo and yearbook services. – Furnish student photography and yearbook services for all elementary schools. • Photography services:– Provide communication materials, picture day information and proofing information for distribution by each school.– Each school shall be provided a make–up picture day.– Retake photographs shall be provided at no additional cost.– Provide a minimum of three background options, including at least one traditional school portrait background.• Photo day operations: – Coordinate photography schedules directly with each school and provide a designated project manager to serve as the primary point of contact for all schools.– Provide sufficient staffing to minimize disruption to the instructional day and reduce the amount of time students are out of the classroom. – Photographers and assistants should dress and conduct themselves in a professional and courteous manner when interacting with students, staff, and families.• Yearbook services:– Fall picture package offerings shall include yearbook purchase options.– Work closely with designated school personnel responsible for yearbook production to ensure a quality yearbook is produced and delivered by the established deadline.– Provide a photographer for candid photographs for yearbook use when requested by the school. • Value–added services:– 8“ x 10“ class composites, including student names, for all students regardless of whether a fall picture package is purchased.– Color portrait strips of each student for permanent records and administrative use.– Student safety cards for each student.– Student directory.– Digital image files for all photographed students and staff in a format compatible with agency student information systems and yearbook software.– One framed all–school composite photograph.(2) All the questions must be submitted no later than October 26, 2026.
