(1) Vendor needs to provide volunteer management software. – Provide online volunteer management software to maintain volunteer contact information, compliance requirements and completion records, past and upcoming volunteer schedules, volunteer hours, and notes. – Provide an intuitive and user–friendly system that is accessible through various devices and supports volunteer registration, digital check–in, profile management and can accommodate the needs of multiple agency divisions, programs, and volunteer opportunities.• Volunteer registration and onboarding:– Provide unique volunteer profiles with self–service, scheduling, service hours, and compliance uploading capabilities (ex. Live Scan, CPR, AED certifications, training videos, etc.).– Provide workflows for registration, compliance, and scheduling as participants complete each required stage.– Allow volunteers to register in groups and allow group leaders to access group registration and schedule.• Scheduling and volunteer management:– Provide scheduling capabilities that include waitlists and fill available shifts through automated email and/or text notification on a first–come, first–served basis.– Provide capabilities to prevent or flag scheduling conflicts, including volunteer shifts that overlap more than 15 minutes.• Communications and engagement:– Provide a reporting function for volunteer recognition to track quantitative achievements based on service hours and allow staff to record prior recognitions or awards within the volunteer profile. – Allow staff to set volunteer recognition tiers based on completed service hours and specified date ranges for reporting.• Administration, reporting, and data management:– Provide scheduling tools to coordinate orientations, trainings, opportunities, and scheduled shifts.– Provide customized reporting tools for compliance, scheduling, attendance, and service hours, with a dashboard for staff.– Provide real–time program statistics, return on volunteer investment calculations, outstanding compliance requirements, and training completion.• Technical, security, and user experience:– Provide a public facing search tool that allows volunteers to search by age requirements, type of work, duration, date, and project location.– Provide a dedicated volunteer opportunity listing page without replacing or modifying the website homepage.• Provide a system, including all public facing interfaces, volunteer self–service functions, administrative interfaces, forms, documents generated by the system, and mobile–responsive functionality, that conforms to applicable accessibility requirements.(2) All the questions must be submitted no later than September 29, 2026.
