(1) Vendor needs to provide event planning and event support services.– Providing end–to–end event planning or one or more specialized event support services, including but not limited to audiovisual services, staging, lighting, entertainment booking, parade production, logistics, vendor coordination, sponsorship and fundraising, marketing and communications, graphic design, decorating, and/or related event support services– These events include, but are not limited to music, festivals, street fairs, parades, community celebrations, block parties, grand openings, ribbon cuttings, groundbreaking ceremonies, cultural events, and other special events– Strategic Planning • Develop a strategic plan for successful execution of each assigned event.• Provide input on event budgets and financial needs associated with the proposer’s scope.Sponsorship, Fundraising & Marketing • Work with City staff to organize, manage fundraising activities and secure sponsorships to support event activities.• Provide event marketing and promotional support, including coordination with City Communications, advertising and media outreach, digital content and social media updates, graphic design and collateral support, sponsorship recognition, and promotional signage or banner installation when assigned.– Programming & Vendor Coordination • Conduct outreach to secure performers, food vendors, arts & craft vendors, activity providers, and other recommended vendors as needed.• Coordinate all programming elements and participant needs.(2) The contract period will be for one year.(3) All the questions must be submitted no later than August 12, 2026.
