(1) Vendor needs to provide association management services to the government authority located in Virginia. – Provide association management services through a phased, partnership–based engagement.– The selected Association Management Services (AMC) must be experienced in supporting fully remote organizations and operating in a virtual environment. All services will be delivered remotely.– Governance & Board Support- Track action items and governance deadlines- Maintain governing documents (Bylaws, policies, Strategic Plan)- Support Board onboarding and offboarding- Coordinate Board elections and nominations (logistics only)- Maintain official association recordsMembership Management- Process new member applications and renewals- Create, edit, and void member invoices in Wild Apricot, and adjust membership dates as needed- Coordinate member refunds and reimbursements with Treasurer, and update the related– Wild Apricot records- Maintain accurate membership records and databases- Manage lapsed member outreach and renewals- Coordinate welcome communications and onboarding workflows- Support administration of member surveys and data collection- Assist with membership growth campaigns and retention efforts– Volunteer Coordination & Administrative Support- Monitor and triage volunteer inquiries received through channels- Conduct initial volunteer screening conversations to understand interests, skills, and availability- Route prospective volunteers to appropriate commitiees and commitiee leads- Maintain records of volunteer interest, placement, and status- Conduct periodic check–ins with commitiee leads to confirm volunteers have been engaged and onboarded- Provide general administrative support to Board and commitiee operations as directed(2) All the questions must be submitted no later than September 25, 2026.
