Vendor needs to provide event housing services to the government authority located in Atlanta, GA. – For the end–to–end management of the event room block.• Reservation Management: Design and manage a custom, secure online booking portal for attendees and staff. • Hotel Rate Confirmation: Negotiate to confirm hotel rates that may not have been confirmed at the time of hotel contracting. • Customer Support: Provide toll–free and email support for attendee reservations, modification and cancellations. o Promptly respond to agency staff and attendees. • Reporting & Auditing: Deliver regular pick–up reports and rooming lists for each sub–block and hotel and facilitate post–event hotel reservation audit. • Sub–Block Management: Coordinate specific rooming allocations for critical event stakeholders, including agency staff, executive board members, fellows, vendors, and sponsored attendees. • Waitlist Management: Collect information from attendees needing to stay over unavailable nights, work with hotel(s) to increase inventory to accommodate requested nights, and update attendee reservation.
