(1) Vendor needs to provide paper to digital document digitization services.– Consultant to digitize its existing paper records and create permanent electronic files in an industry–standard digital format. – The project goals are to reduce physical storage needs and create an easy–to–use, fully searchable, high–quality digital.– Documents may contain printed or handwritten text, single or double–sided, folded, stapled, wrinkled, faded, or stained pages.– Document Sizes: The Consultant must be equipped to process various document sizes. Documents will mostly be Letter (8½” x 11”) and Legal–sized (8½” x 14”), but other sized documents may include, but are not limited to, 11” x 17”, 18” x 24”, 24” x 36”, 30” x 42”, and 36” x 48”. – The Consultant must possess and utilize wide–format scanners and aperture card readers. – Provide black and white, grayscale, and color digitization as required by the document type (including photographs). – Consultant must integrate digital data and metadata into the City’s document management system. (2) All the questions must be submitted no later than August 11, 2026.
