This Request for Proposal (RFP) seeks qualified vendors to provide one or more of the following services. Proposers may propose one or more of these services. A proposal on <u>all</u> of the services below is not required.</span></p><p style=\"margin: 9pt 0in; line-height: normal; font-size: 11pt;\"><span style=\"font-size: 12px;\">a) to provide comprehensive audio and video recording services to capture and document government meetings effectively </span></p><p style=\"margin: 9pt 0in; line-height: normal; font-size: 11pt;\"><span style=\"font-size: 12px;\">b) Provide the design/specifications of new equipment needed to upgrade the current A/V system; and/or</span></p><p style=\"margin: 9pt 0in; line-height: normal; font-size: 11pt;\"><span style=\"font-size: 12px;\">c) Providing price quotes for the provision of all audio/visual equipment needed in the Board chambers, for the purchase and installation of said equipment.&nbsp; </span></p><p style=\"margin: 9pt 0in; line-height: normal; font-size: 11pt;\"><span style=\"font-size: 12px;\">See below for details.&nbsp; &nbsp;</span></p><p style=\"margin: 9pt 0in; line-height: normal; font-size: 11pt;\"><span style=\"font-size: 12px;\">A selected provider will be responsible for operating Public, Educational, and Government Access Cable Channel(s), developing operational policies and procedures, and ensuring that all audiovisual output meets the highest standards of quality and compliance with applicable regulatory requirements. This initiative supports our commitment to transparency and community engagement by making recorded meetings accessible to the public.</span></p><ul style=\"margin-top: 9.0pt; margin-bottom: 9.0pt;\"><li style=\"margin: 9pt 0in 9pt 0px; line-height: normal; font-size: 12px;\"><span style=\"font-size: 12px;\">Operation of Public, Educational, and Government Access Cable Channel(s), to the extent legally allowed, otherwise recording meetings for broadcasting on YouTube.</span></li><li style=\"margin: 9pt 0in 9pt 0px; line-height: normal; font-size: 12px;\"><span style=\"font-size: 12px;\">Development of Operating Policies and Procedures</span></li><li style=\"margin: 9pt 0in 9pt 0px; line-height: normal; font-size: 12px;\"><span style=\"font-size: 12px;\">Provision of Training for in-house teams</span></li><li style=\"margin: 9pt 0in 9pt 0px; line-height: normal; font-size: 12px;\"><span style=\"font-size: 12px;\">Playback/Cablecast services for recorded content</span></li><li style=\"margin: 9pt 0in 9pt 0px; line-height: normal; font-size: 12px;\"><span style=\"font-size: 12px;\">Professional Video Production Services staffing</span></li></ul><p style=\"margin: 9pt 0in; line-height: normal; font-size: 11pt;\"><span style=\"font-size: 12px;\">The audiovisual services are essential for ensuring that our meetings are accurately documented and publicly accessible. Effective audio and video documentation enhances community participation, promotes transparency in government operations, and ensures that critical information is available to all stakeholders without barriers. Comprehensive audiovisual solutions will allow the agency to uphold its commitment to effective communication and public service.</span></p><p style=\"margin: 9pt 0in; line-height: normal; font-size: 11pt;\"><span style=\"font-size: 12px;\">San Benito County has a population of approximately 67,000 residents, inclusive of two incorporated cities, the City of Hollister, and the City of San Juan Bautista. &nbsp;The County is located 30 minutes east of Monterey Bay and 45 minutes south of San Jose, and is a General Law County that operates under a County Board of Supervisors, a County Administrative Officer, and elected and appointed Department Heads.</span></p>",
