(1) Vendor needs to provide leadership conference venue services to the government authority located in Champaign, IL. – The conference is tentatively scheduled to be held on May 25–28, 2027; May 23–26, 2028; and May 22–25, 2029.– This event brings together college administrators, employees, and invited speakers for a multi–day program focused on leadership development, collaborative learning, and networking.– Venue that offers a professional, ADA accessible, and well–equipped environment suitable for presentations, networking, and interactive sessions. Proposing venues should demonstrate experience supporting academic, educational, or professional events and provide modern, welcoming, and flexible spaces that can accommodate a variety of meeting formats.– Provide a main conference room and breakout spaces sufficient to accommodate approximately 30–40 attendees.– Venue must include flexible conference and breakout spaces equipped with high–quality audio–visual equipment, reliable high–speed wireless internet access throughout the facility, and on–site event and technical support personnel.– Provide flexible conference space to support multiple meeting formats, including large–group presentations and small–group breakout sessions.– Offer reliable high–speed wireless internet access throughout the facility and high–quality audio–visual equipment, including microphones, projectors, large screens, hybrid conferencing capabilities.– Offer high–quality, on–site catering for all meals (breakfast, lunch, and dinner) as well as refreshment breaks throughout each day.– Provide accommodations for a variety of dietary needs, including vegetarian, vegan, gluten–free, and allergy–friendly options.– Provide a private dining area for keynote speakers, presenters, and special guests.– Include a space with beverage service suitable for a networking reception.(2) All the questions must be submitted no later than October 26, 2026.(3) The contract period will be for three years.
