(1) Vendor needs to provide online event management platform.– Online event management software platform to enhance its execution of large–scale events like Saddle Up, Parent and Family Weekend, and other large–scale opportunities for students, families, and guests of the University.– The platform would allow for the ability to individualize schedules for all participants, communicate timely information to participants, and load schedules for participants prior to attending events.– Platform would also need to include opportunities for online registration, access of schedule through mobile device apps, and ability to identify locations, presenters, and event descriptions.– Cloud Based / SaaS Solution. If the platform is hosted in the cloud, the Supplier shall provide detailed information on the following– Hosting Environmenti. Identify the cloud provider(s) used (e.g., Microsoft Azure, AWS (Amazon Web Services), Google Cloud).ii. Specify the geographic location(s) of data centers where customer data will be stored and processed.iii. Confirm whether the environment is single tenant, multi–tenant, or hybrid– System Architecture and Availabilityi. Describe the overall system architecture, including application layers, data storage model, redundancy, failover, and scalability.– Data Ownership and Portabilityi. Confirm that the institution retains full ownership of its data.ii. Explain procedures for data export, backup, and retrieval—including formats and turnaround time.– Supplier shall provide a detailed explanation of the support that will be provided for software launch as well as on–going support.– Supplier shall demonstrate options that are available for check–in, badging, and attendee engagement (i.e. polls, surveys, etc.).– An event app for participants to access event logistics on their phones/mobile devices.– An option for participants to receive real–time notifications.– An option for participants to be grouped.– Explanations for how respondents will collaborate with University IT delegates to navigate implementation challenges.(2) All question must be submitted no later than November 17, 2026.
