(1) Vendor needs to provide Cloud–Based records management system.• Recording and indexing land, marriage, probate, and government records; supporting high–volume document imaging and data image migration; providing ai–assisted indexing, OCR, and redaction of protected personal identifying information; integrating with the county’s financial and assessor systems; and maintaining permanent retention in non–proprietary archival formats to ensure long–term preservation and accessibility• Software maintenance and support services and tools, including Software patches and updates, access to any available online libraries, issue reporting tools, toll–free numbers, hours of service, process for requesting after–hours support in case of emergencies, and the process for issue resolution and/or escalation.• System should have the ability to enter data manually. Data input should be easy, simple, and not time consuming• Software must be able to save and track audit history by User.• Software must provide a recording workflow that complies with State and Federal recording requirements.• A clear workflow for rejection of documents submitted will be included.• Clerk staff shall have the ability to send PDF files directly to clients from within the system.• System shall provide email previews, including all attached documents• Software must integrate with third–party eRecording vendors• Software will provide a portal for internal County document filing/recording that includes automatic return of the recorded document to the internal submitter(2) All questions must be submitted no later than September 10, 2026.(3) A pre–bid meeting will be held on September 3, 2026.
