(1) Vendor needs to provide human resources records digitalization service.– The selected firm will deliver an organized, accessible, and sustainable digital archive, utilizing optical character recognition (OCR) and high–quality processing to ensure all typed and handwritten documents are fully legible and searchable.– Prepare, scan, and digitise all HR files in scope (estimated at approximately 9,580 files across 306 drawers).– Scan all documents in scope at a minimum resolution of 300 DPI (colour or greyscale as appropriate) to produce high–quality digital images.– The retrieval of files from filing cabinets in a controlled and documented manner, maintaining a clear chain of custody at all times.– Audits scanned outputs for 300 DPI clarity, correct orientation, completeness, OCR output, indexing and metadata accuracy before approving files for SharePoint upload.– The identification and escalation of any documents that require remediation due to damage, fading, or deterioration before scanning can proceed– Physical records management.– To digitize its complete human resources record system.(2) All the questions must be submitted no later than October 22, 2026.
