(1) Vendor needs to provide cloud–based Digital Asset Management (DAM) platform. – Provide cloud–based Digital Asset Management (DAM) platform that enables the community and external partners to access marketing approved guidelines, templates, photos, video clips, and other creative assets for the purpose of unified branding, communications and marketing operations campus–wide.– System must be modern, scalable and highly accessible, meeting the needs of marketing and creative services as a central repository for digital media.– Advanced Search and Asset Discovery:• AI–powered search: Search capabilities that recognize natural language, synonyms, and context.• Searchable interface: A clear, intuitive interface that enables both advanced and occasional users to find assets efficiently.– Access, Authentication, and External Sharing:• Single sign–on: Authentication, including federated login through in common, as the university’s preferred method.• User access: Access for two administrators, two content creators or editors, and up to five external agencies, including advertising and enrollment marketing partners.– Asset Lifecycle Management and Archiving:• System shall provide tools to identify assets that have reached a defined age or are no longer in use and support their review and archiving.– Implementation and Asset Migration:• Storage: Approximately 150 to 200 GB of storage is expected to be needed at go–live for the existing asset library.• Migration: Provide onboarding tools or dedicated engineering services to securely migrate the university’s existing digital assets from disparate legacy storage solutions into the new DAM environment.(2) The contract period will be for three years.
