Description

Vendor needs to provide cashiering and payment management solution. – Provide cashiering and payment management software–as–a–service solution to support centralized, standardized payment processing, reconciliation, and financial controls.– The solution must integrate with Workday Financial Management and Workday Student while maintaining Workday as the system of record.– The solution should provide a modern, scalable payment infrastructure that supports real–time transaction processing, multi–tender payment options, and seamless integrations across institutional systems.– The solution must also deliver a streamlined, user–centered payment experience for students, families, and staff, minimizing friction, reducing system transitions, and supporting consistent interactions across all payment channels and institutions.• The solution must support multiple payment methods including cash, check, credit card, debit card, ACH/bank transfer, campus card, stored value/declining balance accounts, and digital payment methods (e.g., Apple Pay, Google Pay, PayPal, Venmo, and similar platforms).• Deliver a mobile–responsive, user–friendly payment experience that provides consistent and streamlined interaction across devices, while supporting configurable institution–specific branding (e.g., logos and visual identity).• Support refund processing, including refunds tied to the original payment transaction.• Provide real–time or near real–time transaction status visibility, including a clear indication of transaction state.• Return transaction data to Workday, including authorization status, settlement status, fees, and exception details.• Support Workday APIs, Workday Studio integrations, EIB interfaces, and integration monitoring capabilities.• Support in–person cashiering operations for student–facing service locations, including multiple concurrent cashiers.• Provide cashier session management, including start–of–day opening balances and end–of–day closing processes.• Support cash drawer (till) assignment and management, including accountability at the individual cashier level.• Support online payment processing and ability to send customers a link for online payment upon request.• Enable consistent merchant management practices across all institutions while allowing for controlled variation in merchant account structures and configurations.• Support configuration and routing of transactions to appropriate merchant accounts based on institution, business unit, location, or payment context.• Support audit requirements by maintaining detailed audit trails of payment, cashiering, and reconciliation activities, including user actions, system events, and status changes.• Support API–driven integration with enterprise systems, including real–time or near real–time data exchange and support for modern integration standards.• Support international payment processing, including currency conversion, international student payment methods, and regionally relevant digital wallets
