(1) Vendor needs to provide event coordination services.• Provide a reliable service provider with strong organisational skills and experience coordinating professional, stakeholder–focused events.• Developing a practical workplan and timeline, identifying key milestones and outstanding decisions.• Managing invitations and agency tracking in coordination with agency, including maintaining separate guest lists for the diplomatic briefing and the main dialogue.• Coordinating guest information, attendance updates, dietary requirements and other relevant logistics.• Liaising with agency and its existing suppliers, including catering, audiovisual, photography, printing and branding providers, to confirm requirements and delivery schedules.– Key Deliverables• Workplan and event logistics checklist.• Updated agency and guest–management trackers.• Supplier coordination checklist and confirmation of agreed arrangements.• Final event run sheet submitted at least three working days before the event.• On–site coordination on 1 December 2026.• Post–event close–out summary and final attendance list within three working days after the event.(2) The contract period will be for one year.
