(1) Vendor needs to provide bulk mailing services to the government authority located in Virginia Beach, VA. – Provide comprehensive bulk mailing services to various schools and administrative offices within agency. • Mail processing and USPS compliance:– Provide high–speed automated folding, matching, inserting, sealing, and metering services.– Contractor shall supply all necessary outgoing mail containers (trays, tubs, and sacks) required for transport.• Quality assurance, invoicing and equipment failure:– Utilize an automated tracking system capable of itemizing postal and processing rates by individual agency department/school.– Notify the designated agency project manager immediately (within 2 hours) of any equipment or system failures (e.g., meter malfunctions, inserter jams) that threaten established mail drop dates.– Return any mail pieces damaged during the folding, inserting, or collating process to the originating department within twenty–four (24) hours.• Data security and confidentiality:– Maintain absolute confidentiality of all student, parent, and employee mailing lists and data provided by agency.(2) The contract period will be for one year. (3) A virtual pre–bid conference will be held on August 20, 2026.
