(1) Vendor needs to provide audio and visual replacement and integration system to the government authority located in West Des Moines, IA.• Reviewing and validating the City’s functional and technical requirements• Inspecting the existing system, infrastructure, pathways, power, network connections, and installation conditions• Developing a complete system design for City review and approval• Furnishing all new equipment, hardware, software, licenses, cabling, connectors, mounting hardware, and accessories• Removing all existing AV equipment within the project scope and returning or disposing of it as directed by the City• Installing, programming, configuring, and integrating the complete replacement system• Integrating Microsoft Teams, Digital Congress voting, recording, livestreaming, media feeds, assistive listening, and City network services• Configuring the AV control room, City Clerk control position, and wireless control interfaces• Testing and commissioning every system component, source, destination, control function, and operating mode– Cameras and Video Production• Three remotely controlled 4K pan–tilt–zoom cameras• One camera positioned to capture the presentation podium• Two cameras positioned at the rear of the Chambers to capture the dais, staff positions, and front of the room– Content SourcesThe system must support and route content from:• Podium computer• External laptops and computers through HDMI or current–generation digital connections(2) A mandatory on–site visit will be held on September 3, 2026.(3) All question must be submitted no later than September 9, 2026.
