(1) Vendor needs to provide stenography and transcription services.– Professional stenography and transcription services to accurately record, transcribe, and produce official meeting minutes.1. Meeting Attendancea. Attend meetings in–person or remotely, as direct by the County,b. Availability for meetings held during regular business hours and, when necessary, evenings or weekends,c. Arrive prepared with necessary equipment to ensure uninterrupted service2. Stenographic Recordsa. Create a complete, accurate, and verbatim stenographic record of all proceedings, including public comments, motions, votes and discussions,b. Identify speakers clearly and accurately in the transcripts,c. Note procedural actions such as recesses, adjournments, and roll calls.3. Transcriptions and Deliverablesa. Produce written transcripts in a clear, professional, and standardized format acceptable to the County,b. Provide draft and/or final transcripts within 10 days of the meeting occurrences or other timeframes specified by the County,c. Deliver transcripts electronically in an accessible format.4. Confidentiality and Records Managementa. Maintain confidentiality of all meeting materials and transcripts, including executive session content when applicable,b. Safeguard stenographic notes and recordings in accordance with applicable laws, records retention requirements, and County policies(2) A Pre–Proposal Conference will be held November 24, 2026.(3) All question must be submitted no later than December 4, 2026.
