(1) Vendor needs to provide transcription professional services. – Provide accurate conversion of audio and video recordings into written text.– Transcription services must ensure accuracy, confidentiality, timely delivery, and compliance with applicable federal, state, and local regulations governing records management and privacy.A. Audio and Video Transcription:• Transcribe digital audio and video recordings provided by the Authority.• Convert recordings into clear, accurate, and professionally formatted written documents.• Identify speakers whenever possible.• Capture verbatim content for each recording.• Provide edited and summarized minutes using agency’s format.• Include timestamps as requested by the Authority.B. Transcript Preparation:• Proofread and edit transcripts for accuracy and readability.• Verify names, titles, locations, and technical terminology when reasonably identifiable.• Format transcripts in accordance with Authority requirements.• Produce transcripts in Microsoft Word, searchable PDF, or other approved electronic formats.C. Meeting and Hearing Transcriptions Services may include transcription of:• Board of Commissioners meetings• Committee meetings• Meetings(2) The contract period will be for one year.
