(1) Vendor needs to provide professional audio–visual services for all convention and meeting events to the government authority located in Volusia, FL.A. Audio Systems– Full sound reinforcement systems for all event spaces, including the Arena, Exhibit Hall, Ballroom, and all 32 Meeting/Breakout Rooms.– Wired and wireless microphone systems (handheld, lavalier/lapel, headset, boundary, podium).– Digital mixing consoles and audio processing equipment.– Distributed speaker systems, line arrays, and subwoofer configurations as required by event type and room size.B. Video Projection and Display– Front and rear projection systems using professional–grade projectors (minimum 10,000 lumens for large spaces).– Projection screens of all types and configurations: front, rear, tab–tensioned, fast–fold, and truss–mounted.– LED video walls, large–format displays, and videoboard configurations for the Arena and Exhibit Hall.– Confidence monitors and speaker support displays.C. Lighting for Meetings and Presentations– Theatrical and architectural lighting design for general sessions, award ceremonies, and banquets.– Intelligent and moving–head fixtures for corporate productions and branded events.– LED wash, uplighting, and accent lighting packages.D. Hybrid, Virtual, and Teleconferencing Solutions– Full hybrid event production support, integrating in–person and remote attendees seamlessly.– Video conferencing systems and integration with platforms including Zoom, Microsoft Teams, Webex, and other industry–standard platforms.E. On–Site Presence and Staffing– Permanent On–Site Staffing– The Contractor shall assign a dedicated, full–time Account Manager or Senior Technician to serve as the primary liaison between the Contractor and the Ocean Center's Show Services Manager.– The on–site account manager shall be present during all normal business hours and additionally be on–site and available by phone or radio during event operations(2) A non–mandatory pre–proposal meeting will be held on August 27, 2026.(3) All the questions must be submitted no later than September 3, 2026.
