(1) Vendor needs to provide board agenda and meeting minutes software.– Provide project management associated with installing and configuring the selected system, migrating existing data from One Meeting to the new platform, training agency employees (using a train the trainer method) and providing ongoing maintenance, support and hosting services.– Interfaces and Integrations– Active Directory / Single sign on– Granicus Communications and/or Communications (GovDelivery).– Sharepoint– Docusign– M365– Training Activities The proposal shall include a complete training program designed for system users, supervisory, administrative, and active board or committee members. Proposals shall include onsite training.– System Configuration and Setup The successful Respondent shall provide detailed system configuration, installation and implementation services. Install and testing will come before onsite training.– Provide user license options• Provide data storage options.• Board Management (positions/names/terms/application submission)• Audio/Video recording capabilitieso We currently use Swagit.• Live Streaming capability• Closed Captioning• Board Agenda and Minutes– Accessible document creation (agenda and attachments)– Auto generate table of contents– Confidential or private options (for entire agenda items or individual attachments)(2) The contract period will be for one year.(3) All the questions must be submitted no later than August 10, 2026
