(1) Vendor needs to provide multi–function copier and print services to the government authority located in Emporia, KS. • Provide, install, and support a managed fleet of multi–function copier and printer devices (MFPs) and associated services.• Replacement of the existing copier fleet with secure, reliable, and efficient equipment.• Standardization of hardware and service where operationally practical.• Enhanced scanning, document workflow, and Microsoft 365 integration.• Fleet monitoring, reporting, and usage analytics.• End–user and administrator training.• Predictable and transparent total cost of ownership (TCO).• Scan to Email, Network Folder, and Microsoft OneDrive, SharePoint and Teams.• OCR with searchable PDF and editable Microsoft Office formats.• Centralized device management.• Usage tracking and reporting by department or user.• Clearly defined service levels and vendor accountability.(2) The contract period will be for three years.
