(1) Vendor needs to provide legal files storage services to the government authority located in Mechanicsburg, PA. • Provide secure, off–site storage services for confidential legal files–maintained by the agency. • Provide local storage, indexing and tracking of files to ensure their location can be readily and delivered to the designated DOC location upon request, as needed, prior to transfer to state archives.• Maintain a records storage and retrieval system for the agency. • All records must be kept in a secure, flood–proof facility that is equipped with smoke detectors and automatic sprinkling system.• Records are confidential and must be treated as such. • All records shall be maintained in original hard copy format.• Provide same day delivery of records.• File and maintain material on an ongoing basis.• Provide an online records management system to allow the agency to index their own files.(2) The contract period will be for one year.
