Vendor needs to provide direct mail marketing services. – Develop, manage, and execute a comprehensive sequence of 12 agency direct mail campaigns that integrate culturally informed and respectful storytelling with potential for additional campaigns to meet agency needs. – Provide high–volume, end–to–end management for all 12 campaigns, including:• Strategic development: Design unique culturally grounded messaging tracks that distinguish between the donor journey phases (Retention vs. Win–Back vs. Cold Acquisition).• Creative and copywriting: Produce high–impact, culturally resonant layouts that reflect Lakota values, incorporating visual brand continuity across all 12 distinct drops.• Complex data segmentation: Manage file preparation, deduplication, and suppression files (e.g., ensuring active donors in the Renewal track are excluded from Prospecting lists).• Production and high–volume fulfillment: Execute high–quality printing, sorting, variable–data printing (VDP) personalization, and direct coordinates with the agency to leverage optimal non–profit mailing rates.• Reporting structure: Selected firm will report directly to the agency. • Technical and production requirements:• Scalability: Ability to efficiently pivot production between lower–volume highly personalized reactivation tracks (10k) and massive prospect drops (100k).• Data security agency NCOA processing: Advanced list hygiene and deduplication to ensure prospecting lists do not inadvertently overlap with active renewal lists.• Postage optimization: Strict coordination with the agency to leverage maximum non–profit drop–ship discounts and postal logistics strategy for a distributed, multi–center rural region.• Integration with CRM.
