(1) Vendor needs to provide recreation and event management software.– Modern recreation and event management software solution to support in delivering recreational services and amenities to residents, managing facility reservations, memberships, program registration, point–of–sale transactions, and event ticket sales, as well as addressing additional operational needs.– System will serve thousands of residents annually who participate in programs, reserve facilities, hold recreation center memberships, and attend community events.– Tools to manage program scheduling, merchandise sales and inventory, recreation center memberships, facility reservations, financial transactions, and communication with participants.– System should support automation of routine tasks and centralized data management.– Deliver dashboards and reporting tools to track participation, revenue, and operational performance on a daily, weekly, monthly, and annual basis.– Ability to create customized reports and analytics tailored to the department's evolving needs is preferred.– System can accommodate growth in transaction volume, program offerings, and integrate with other municipal systems (e.g. finance, GIS, communications), and provide AI capabilities.– System should support integration with the town's financial system, automated reconciliation of point–of–sale and registration revenue, and audit–ready transaction details.– AI–powered search and personalized program recommendations for residents.– Provide an integrated online payment solution that supports various payment methods, including recurring billing plans. – Solution must deliver a modern, responsive experience across all devices and browsers, allowing residents to manage household accounts, view transaction histories, receive automated confirmations and notifications, and complete transactions securely online.– Solution must include built–in tools for both automated and staff–initiated communication, including registration confirmations, payment receipts, waitlist notifications, program reminders, cancellation alerts, upcoming reservation details, and payment due date notices.– Mobile–first functionality for key functions, including browsing, registration, and payment.– Web and app–based customer, instructor and employee portal.– Ability to have pop–up messages before the registration process begins.– Membership management and access control.(2) All questions must be submitted no later than November 12, 2026.(3) A pre–bid meeting will be held on November 5, 2026.(4) The contract period will be for five years.
